What it does
Your assistant naturally finds out, in the customer's language, the details you care about for each lead (budget, area, timeline… whatever you set up) and saves them on the contact. When the lead has all the key details, it moves to "Qualified" on the board and we notify you.
It works for any industry: you decide what to ask.
How to turn it on
- Go to Management → Sales pipeline, open your pipeline with Configure and click Set up qualification.
- Turn on qualification.
- Start from a template (Real estate, Services / B2B, Clinic / health or Education / academy) or create your own fields.
- Choose which column the lead moves to once qualified and save.
- In each agent that should ask, open it, go to Tools and capabilities and turn on Lead qualification.
Fields
You can create up to 15 fields. Each one has:
- Type: Text, Number, Yes / No or Options (for example "less than 3 months", "3-6 months"…).
- Required or not: the lead is qualified when it has all the required ones.
- Hint for the assistant (optional): a tip on how to ask.
Amounts are understood in any format ("€450,000", "$450k", "1.5 million"). Options are saved the same way even if the customer answers in another language.
How the assistant asks
- The customer's request comes first: it answers, books or opens a ticket before asking anything, and never holds back help to qualify.
- One question at a time, naturally and in the customer's language.
- It only saves what the customer says: it never assumes or makes up a detail.
- It does not ask again for what it already knows, nor mentions that it is "saving details".
- If the customer prefers not to answer, it lets it go.
- It never asks for bank, ID or health details you have not set up.
How insistent it is: the style
On each pipeline's qualification page you choose how the assistant asks for the details:
- Soft (recommended). It first answers what the person asked and only then, at the end of the same message, asks for one required detail. It asks nothing in their first message, leaves at least three of their messages between one question and the next, asks at most three questions a day and, if the person does not answer a detail after two tries, stops asking for it. It is the right choice when someone just wants information.
- Active. It asks for one detail in every reply until they are all complete (required ones first). Meant for ad or form funnels, where the person already expects to be asked.
- Off. It does not ask; it only saves what the customer volunteers.
The platform, not the AI model, decides whether it is time to ask, so the rule is always followed. Since each channel can enter a different pipeline (the board's entry rules), you can use one style per channel: for example, soft on the website chat and active on WhatsApp from ads.
A detail is only saved when the customer says it about themselves or their business, always together with the words it is based on. Asking "how does X work?" does not count as saying "I use X".
Anonymous website visitors
On your website chatbot visitors are anonymous. With Ask for contact details turned on (it is by default), once they show interest the assistant asks for their name and an email or phone number so your team can follow up. With those details:
- Their contact is created with everything they already said and shows up on the board.
- The privacy notice is shown automatically (once per conversation).
- For security, it is never merged into an existing contact because of an email someone types: if that email already belongs to another contact, the new one is created without it and a note is left so your team can check whether it is the same person.
When the lead is qualified
- It moves to the column you chose, following that pipeline's AI mode (its own or, if it has none, the common one): with "Move by itself" it moves; with "Suggest" it shows up as a suggestion to confirm. It never goes backwards.
- The workspace owner gets a bell notification and an email with the lead summary (for example: buy, Austin, 450,000, 1-3 months), in their language. They can change this in your notification preferences.
Using a detail as the sale amount. If you add a number-type detail (for example, «Budget»), you can have the AI suggest it as the card amount; a person accepts or dismisses it. It is off by default: how to turn it on.
With several pipelines
Each pipeline has its own questions. Choose the pipeline at the top right in Management → Sales pipeline → Set up qualification. For example, a real estate agency asks about budget and mortgage in Buying, and about move-in date and guarantor in Renting.
- The assistant asks the questions of the pipeline the lead is in. If they are in two, those of both, without repeating.
- If the lead is not in any pipeline yet (for example, an anonymous website visitor), it uses those of the pipeline your entry rules send them to, or the main one.
- The lead becomes "Qualified" in each pipeline when they have answered that pipeline's required questions, and moves to its qualified column.
Privacy
Qualification details are part of the contact: they are included in the data copy the customer can request (GDPR) and are deleted with it.
